I have an e commerce clothing website that i need managed and would like someone in the Tampa, FL area to not only handle orders but also be a liaison between me and my web hosting company so it can be managed the way i want it to be. Office administrators coordinate and oversee administrative duties in an office, and ensure that the office operates efficiently and smoothly. Your responsibilities generally include duties like greeting callers, managing office supplies, responding to emails, overseeing other administrative staff, owning budgets, and supporting staff with administrative tasks like scheduling meetings. Office administrators typically have a Bachelor's degree in business administration, communications, or in a related field. However, for some office administrator positions a high school diploma is sufficient. Office administrators need to be highly organized and self-motivated, and they typically have excellent attention to detail. Responsibilities for Pro Club East Office Administrator Oversee and support all administrative duties for the company Manage office supplies and inventory and place/ship orders as necessary Perform receptionist duties: answer and direct phone calls and emails Receive and sort incoming mail and deliveries, and manage outgoing mail Develop office policies and procedures, and ensure they are implemented appropriately Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure Manage office budget Identify opportunities for process and office management improvements, and design and implement new systems Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports Qualifications for Pro Club East Office Administrator Bachelor's degree in business administration, IT or a related field 2-5 years of work experience in an administrative/office management role Must have exceptional attention to detail Strong organizational and time management skills, and ability to prioritize Must be a self-starter and driven Excellent communication and interpersonal skills Strong problem-solving skills and analytical abilities Must be proficient with IT including website maintenance and Google products Job analysis of an Office Administrator position Tasks: Delegation of work to the staff with matching skills and knowledge Procurement and distribution of office supplies and materials Bookkeeping Monitoring of costs and expenses Training of staff Specific tasks and responsibilities: Maintenance of and adding inventory to company website Ordering, tracking and shipping inventory Research and development of online clothing purchase trends and statistics Ensuring state and local licenses are up to date and laws are followed at all times Ensuring correct tax rate is used, taxes are collected, and tax compliance is followed Ensuring company insurance is up to date Managing company advertising, marketing and search engine optimization Managing credit card processor account and ensuring compliance Utilizing storage facility to store inventory and supplies Handling returns, exchanges and customer complaints Hiring 2nd party contractors for temporary employment on specific company tasks Handling and security of sensitive customer information Skills required: Communication Time management Computing and numeracy Clerical Strong IT skills Specific skills required: Ability to utilize ShipStation for customer orders Ability to utilize [login to view URL] for website changes and updates Ability to manage customer payments through EVO payments Ability to utilize Shopify, Amazon MP, etc. for sales of inventory Ability to utilize ad and marketing platforms including Klayvio, Facebook Knowledge of social media platforms and its usefulness in marketing Knowledge required: Procurement and reorder procedures Inventory management Awareness of staff skills and qualifications Information technology Attitudes/behaviors required: Pleasant, friendly and approachable Strict adherence and commitment to schedule or timetable Desire to involve everyone and make them feel that they belong to a unit Well-organized Courteous Reliable Strong work ethic Productivity Professionalism Problem-solving and critical thinking skills Good technical, interpersonal and communication skills Customer focus Discretion Multitasking ability Teamwork and collaboration skills
