We are looking for an organized and professional Office and Facilities Assistant to join our team! The person would primarily be responsible for assisting with reception and shipping duties. Reception: · Greet visitors · Answer incoming calls and directing callers to appropriate staff members · Assists in Manage/coordinate/schedule calendars (conference rooms) · Sort, distribute incoming mail; notify recipients of package/shipping arrivals · Prepare all outgoing deliveries, e.g. USPS, Fed Ex, UPS, Courier service · Screen/route calls, deliveries, and mail to appropriate staff members · Greet, assist all walk-in visitors; review ID and assign & track visitor badges Facilities: · Issue employee, contractor, temp, and visitor ID badges and card keys · Work with IT to ensure copy machines and conference room equipment are in working condition; including stocking copiers with paper and changing toners · Assist the Facilities Manager in the overall facility safety; including fire drills, evacuations, and security · Assist/back up the Facilities Manager as necessary Required Skill Set: · Proficient in MS Office: Word, Excel · Occasional lifting, up to 50 pounds · Must be detail-oriented, take initiative and drive to progress · Strong shipping background · Excellent written and oral communication skills · Willingness to do a wide range of office facilities tasks · Capable of light maintenance work Required Qualifications & Experience: · 1-2yrs’ experience in Facilities, and or as a Receptionist/ Office Assistant & Shipping Clerk
