Our company is in the business of performing component level repairs on electronic components. Our staff relies on publications that are provided to us electronically in a PDF format - but we have to print each publication out (which can be as little as 10 pages or up to 5,000 pages). I need to find a developer who can create a web-based document management system that meets our requirements.
Maintenance Staff:
- A sample prototype of this interface is available, although lacks all of the dynamic features that will be required
- A thin client will be installed at their desk and will be restricted to this web application
- Each workstation will have a monitor in portrait orientation (900 x 1600 resolution)
- The interface must allow the employee to search the technical publications that are stored.
- The interface must be designed in a way that allows for the entire page to be viewed without scrolling.
- The interface must allow employees to store notes (down to an individual page), and create/store bookmarks, and provide a print function that calls for server based printing (rather than client based printing). I don't want to install a printer or manage printers on a thin client system. Some of the pages we print are tabloid size (11x17) and will need to print on the appropriately sized pages. The pages will need to have a watermark on it indicating its for reference only. I will also want to keep track of printer usage. These are things I want to happen consistently, not if someone feels like selecting the options.
- A method to keep track of where the employee is at on the page is also required. This can be through the use of a horizontal bar that can be moved up or down
Management functions:
- Must allow authorized users to create/add/upload new publications, as well replace older revisions with newer revisions.
- Must perform background processing when manuals (which include OCR processing, metadata extraction, etc) are uploaded. The OCR data will be used for searching publications.
- Must provide functionality to record verification status checks. We are responsible for routinely verifying the publications we are utilizing are up to date, and are subject to audit at any time. We must have a system in place that stores the date and time when the verification was performed, in addition to storing our supporting documents.
Example process flow for new or replacement manual:
To store a new manual, the user must enter in the part numbers it covers (One manual can cover multiple part numbers). The user must also specify the number of manuals and/or volumes. In some cases, the maintenance instructions are separate from the parts catalog, and the maintenance instructions may cover 3 manuals. In this example, there would actually be 4 manuals associated with this group of part numbers.
Once this data has been entered, the user will start uploading the manuals (PDF format). The server will extract the relevant meta data (such as the page size) and store it into a database. It will then extract each page to JPG or PNG (undecided on format at this time) in two different sizes - a full sized page, and a thumbnail size (for navigation purposes). The system will then perform OCR scanning and storing this data into a database so it can be searched later.
For the purposes of data integrity, we will need to calculate checksums for each full sized page to ensure that it hasn't been modified. We will need to develop an internal auditing procedure to ensure data has not been tampered with.
In addition, there must be another function that allows someone to quickly review the manual data (such as the verification history) and flag the manual if verification is required
