We are lookinf for a web based CRM and financial program for a advertising sales force.? There are several web based models to use as an example of what we are looking for as far as features.? Only interested in bids and input from coders that have worked on similar projects or have developed a CRM program in the past.? Would like to see an example if possible of past projects.? Honestly I dont know much about either one of the programs and their capabilities compared to Netsuite. The one thing I quickly noticed was neither of these offer a financial solution. With netSuite you gain full financial visibility into your payables and receivables with real-time access to outstanding invoices and bills. And once customers receive your goods or services, you can quickly generate invoices from sales orders with just one click, reducing paperwork and improving efficiency. THe solution we are looking for is combining what These crm programs are offering customizing them to our specific internet advertising sales needs and be able to send out a quote then a invoice and have our advertisers pay online with paypal with either on a stand alone application that has the look and feel of our website or have it actually tied in to our website advertisers control [login to view URL] have all the payment information automatically entered into the financial side as well as the accounts detail page in the crm program. So when we click on a account we can see their payment history their account balances and their past purchases. Here is a quick break down of what is feasible with Netsuite financial features. Financials/ERP - General Ledger - Accounts Receivable, Accounts Payable - Advanced Financials - Revenue Recognition - Budgeting - Order Management and Fulfillment - Time and Billing - Purchasing - Inventory Management - Standard, Customizable Reports •Ecommerce - Database Driven Web Site/Web Store - Front- and Back-Office Integration - Credit Card Processing, PayPal - Affiliate Marketing - Customer Acquisition - Customer, Partner Self-Service - Web Site Analytics I see that there are a lot of add ons available for these programs that might take care of some of these needed features. THis project is kind of taking a different direction to where we might be customizing one of these programs instaed of creating a program from star due to the advice and recommendations of the coders who our posting. After looking at Sugar CRM we have decided it has most of the capabilities we are looking for and would just need to be modified to meet our needs and show only what we need and applies to our business. There are some free add ons also that would help make it do more of what we would need the program to do. These are 1. Our work work flow will be as follows. [login to view URL] will start by enetering a leads info into the system. the things we need to keep track of are. Lead Owner Lead status Check for duplicates Business Name Contact person First last name Add additional contact person and tiltle Title Phone Mobile phone Fax Email Website Email and phone opt out boxes Address City state Zip Lead source We will need the ability to send and track emails from within the program. There will be two custom fields needed. Both in which a sales rep can choose mulitlpe answers from a drop down box to be displayed. The first is City Directory. This will will b e a drop down field that the administrator can populate the selections. The selections will be something like Ohio-Akron/Canton, Ohio-Cleveland, Ohio-Columbus. This is where whoever is entering the lead can choose which directories the vendor would be interested in advertising in. Need to be able to select all that apply and not just one. The next field is also a drop down field populated by administrator and needs to be able to handle multiple selections. This drop down field is Vendor catagories. It will have such things as cakes, caterers, beuty shops, photographer, videographer and so forth. There needs to be a note section where the rep can enter important details that might be usefull in the future when contacting the lead. I would like to have a Call log button. When a sales rep is trying to contact this person they can enter the time the number and the the date and any info regarding the call in a notes field about the call. Also need a call back field. A sales rep will click on this if they need to call back to reach the right person. Here the can enter the date and time to call the business back and any notes about the call or who to ask for and it should notify the rep by email and on there things to do on their homepage to remind them about it. We will need the ability to do searches on leads and business in other stages of the sales process by just typing in their business name, contact name, phone number, email. We will also need to be able to run call reports. Say a sales rep wants to contact all the vendors in the Cleveland directory. Or maybe just the photographers in the Akron Canton directory. She can go to a tab that says call report and enter the info needed to make the report. So she would go in here and select which directory she is looking for maybe multiple directories. The choose which catagories she is looking for which could be multiple catagories. Then she can choose whether she is looking for leads, prospects, customers. Once a report is run there should be a way of saving it so it doesn't have to be created from scratch everytime you want to run a particular call list. Once a lead has been contacted and has been presented a advertising solution the lead will be converted to a prospect. Once in the prospect field it will show a section that lists all the communications with that busineess. Wether it was a email call in or call out, a fax or any type of communication. We will need a communication log here where you can choose which type of communication you had with the prospect. These should poulate a area one right after another displaying what type of communication it was and the date and time. This needs to work with Outlook so when emails are sent or recieved it will show the actual email in this area as well. On the prospects page we will need a new event and a new task fields that will add to calendars and email reminders to the rep. We will have about seven stages of prospects that will show up in the pipeline reports. These stages should be able to be enetered and edited by the administrator. I will need a area where I can list the details and pricing of our advertising packages so every sales rep is on the same page. I would like to break it down by price books first. So for an example a rep is talking to a lead or prospect in a new area where we offer big discounted rates to these advertisers. She can click on the new area price book and see all the advertising options available and the prices. So if she needs to send this person a proposal or quote she can click on the advertising that the vendor is interested in and it will fill out the proposal with the price and description automatically to prevent miss quotes or human error. We will need the ability to send by email or fax a proposal that would list the details of the adverting offer we made to the business. Once the advertiser agrees to the proposal will convert the prospect to a customer and send them a detailed invoice by email or by fax. With the directions of how to pay the invoice with paypal or credit card. We are looking to combine the CRM with a Accounting and financail soultion with the normal functions of a accounting program. GL, Cash-flow Statement, Balance Sheet Profit / Loss Statement, Trial Balances Chart of Accounts Journal Entries Sales Orders & Invoices Purchase Requisitions & P.O.s Accounts Receivables & Payables (AR / AP) Set & Manage "Net" Credit Terms Gross Profit / Loss Reporting Set tax rates on items, customers, etc.. Total price control on items Bank Reconciliation Check Writer and stuff like that. Once a invoice is created we would like to be able to keep track of all the customers financial details on a customers detail page. This way a rep can see the account status before contacting the customer. Or if the customer hasn't paid the invoice the rep can keep checking here to see the status of the account. A couple of coders ask if we would be willing to have the program integrated with quickbooks instead of creating a new accounting feature and we would consider this option. We are also looking at a Marketing • Email Drip Campaign - Provide auto email response by auto-scheduling email template distribution to selected recipients. We will need to run a report to find all the vendors in a particular directory or catagory to send the emails to. • Email Marketing Campaign - Conduct targeted email broadcasts, Broadcast personalized email templates or custom designed HTML branded messages to our subjects. The big thing we want it to show in the lead and opportunity fields if they recieved a email campaign and the date and possibly the details and if they opened it or what they did. With the email marketing campaigns we want to be able to see the results of the email campaign so we can track to see how many were sent opened deleted and if they clicked on any links. These are the basic features that we need! Several coders mentioned that it would be the latest release 5.0 that we would base the project on. A coder also mentioned that since it is open source we would be working with a really old version of it like 3.0 or something and not the new 5.0 version that I have been looking at. I need to know which version of Sugarcrm the project would be based on. This way I can try to get a trial or something of that version so I can see what the capabilities of are. Thank You!
