More specifically, we sell car sales lead information to dealerships across the country. We need a CRM that will simplify the flow of information and keep a record of activity car dealerships make on car sale leads. In order to do so, the following is required: 1. We must be able to submit new lead information to our CRM by simply importing the data from a CSV file. We then must be able to specify which lead information goes to which of our car dealerships on our CRM. When we import the lead data to our CRM it must be able to detect duplicate lead information older than 30 days, so if a car dealer already has had information on that particular lead for longer than 30 days a red flag notifies us and the dealer of the redundancies (otherwise its overwritten). We'd also like for our dealers to be able to import their own lead data via CSV file for their own records on our CRM and a red flag should pop up in case of any redundancies for them just as it would for us (only for any duplicates that have been in the CRM for over 30 days). Some car dealerships will need multiple user logins (for each of their employees using our CRM), so user groups will be needed to give each one access to their leads, and we must be able to specify which user gets which lead out of each user group/dealership. If an employee gets let go or for whatever reason no longer works for that car dealership, either I or a user within that car dealership's user group must be able to delete that person's login to our CRM, but the record of that user account and it's activities should be archived in our CRM, so we can easily reassign their leads to their new employee. 2. Our dealers must be able to contact the lead through our CRM via E-mail or an SMS text messaging feature. They must be able to simply select a lead in our CRM and click an E-mail or SMS button, or if they select multiple leads they should be able to send the same E-mail or SMS to all of them. A window or box will pop up and a message box appears for the dealer to put in a unique message and send it to the lead(s). Normally this step will only be made after the lead has contacted the dealer via web form submission on our web site, but if our dealer uploads their own leads a unique situation might require them to send a lead an E-mail or SMS without that contact point made first. Each lead should have a comment box that the dealer will use to keep a personal log of their activity with the lead (i.e. "letter sent," "email sent," "sms sent," "contact made," "interested," "not interested," "meeting setup," "sold," etc.), and dynamic check boxes listing the most frequently used activity updates should also be available. Over time each dealer could collect quite a list of leads uninterested in their deals, so each dealer or a specified user within the dealer's user group should be able to purge uninterested leads after an allotted amount of time has past. 3. Our dealers must be able to create PDF printouts with the leads information using a fully customizable template system. It should be as simple as selecting the lead(s), clicking a PDF button in the CRM, choosing a pre-made template specifying the kind of layout they want for their printout (be it address labels, an advertisement, letter, etc.) and printing them out to send via postage mail. When they receive the mail, if the lead is interested they can access a web form on our site that is specified in the mail. The web form must connect to our CRM and uniquely identify the dealer who has that leads information in their records, and upon filling out the form and submitting it the dealers records of that lead should be updated in the CRM, an e-mail should be sent to the dealer notifying them of the update and giving him the new information retrieved from the web form submission, and a record of the update should be kept on our CRM (preferably accessible to the dealer via PDF button for printout).
