What we need is basically a Business Suite type software. It will be used to enter new leads, enter / change existing customer information, sort the information, report on the information, search for specific variable, create quote's / tax invoices, and have a reminders section where you can set reminders for future actions required. It will be installed onto a central server (or virtual server) either in our factory, or with the business who supports our hosting company. It will be accessible via the internet to allow remote access by several people at the same time. It needs to have a GUI front end that's relatively easy to use. I think a SQL database with a PHP front end should be ok... but I'll leave that up to you. ## Deliverables Thanks for your interest in taking part in this project. What we need is basically a Business Suite type software to track customer information. We will also expand on the project in the future to incorporate a materials management (parts management) component. It will be installed onto a central server (or virtual server) either in our factory, or with the business who supports our website (provides hosting). It will be accessible via the internet to allow remote access by several people at the same time. It needs to have a GUI front end that's relatively easy to use. I think a SQL database with a PHP front end should be ok... but I'll leave that up to you. I’ve noted a basic layout we require below. The numbered sections will be individual screens. 1. Main : This will contain links / buttons to the below 6 screens. 2. New Leads : We need to be able to use this screen to enter new customers into the customer database. Some fields may need to stay blank and be able to be populated well after the lead is entered. Fields (which should be able to be added to) are : - Lead status (pull down list, variables are: Prospect, Open, Closed, Install, Complete) - Contact Date (in format dd/mm/yyyy) - Salesperson (pull down with user names) - Wholesale Group (pull down- scrolling menu) - Business Name - Contact Name - Business Address - Suburb - State - Postcode - Install Site Address - Suburb - State - Postcode - Contact Tel - Mobile - Fax - Email - Lead Source (pull down menu: variable should be able to be added to via Admin screen) - Comments (This needs to be very big. I'll need to store personal info about the customer into it eg Footy team they support, partners names, etc etc) - Product - Approx Sizes - Indication of price - Quote Appt Date - Time - Measurements - Attachments (if possible - I want to be able to attach a number of files / docs to this record - Eg, a quote, a receipt, a scan of a plan, a picture etc etc) - Follow up date / time (will be linked to reminders screen) - Quote Given - Agreed Price - GST (Auto populated (formula = agreed price x 0.1) - Agreed Price incl GST (Auto populated (formula =Agreed Price + GST) - Special Instructions (large text box) - Install Date - Deposit - Balance Owing - Sales Commision (variable percentage (to be set and changed by admin) of Agreed Price incl GST field once populated) - SAVE (Button to save current entries) - Quote (button). This button will be used to create a set template to write up a standard quote letter in ms word, auto populated with relevant details for a quote. - Tax invoice (button). This button will be used to create a set template to write up a standard tax invoice in ms word, auto populated with relevant details for a quote. - Cancel (button) will be used to cancel any changes made during the last session. 3. Search : We need to be able to search for customers / leads via all above fields and will populate the results as a list in either the same, or on a separate screen. 4. Customer Information : This will simply list the whole list of customers. We need to be able to sort the entire list of customers in Alpha , Date, or Numerical order. 5. Reporting : We will need to pull reports on all above fields with ranges. This will need to be a screen that's similar to the Search Screen, however rather than being a one field search, I want to be able to pull a report on which sales we made between xx / xx / xxxx and xx / xx / xxxx via Lead Source xx. Or which sales were made by salesman x between these dates x/x/x - x/x/x. Some larger wholesale customers, like for example builders that we supply to, will make more than 1 purchase. We need a way of grouping these purchases. 6. Reminders : We need the reminders set (date and time) to appear in this screen. We need to be able to tick these off once the reminder has been actioned however the item must not be deleted in the customer information screen but rather be marked as actioned and no longer appear in the reminders. A reschedule option will be handy also. 7. Admin Screen : Create users / Sales persons so that they can login and add the prospects/leads into the system. We need to be able to create or remove Wholesale groups / lead sources / change commision amount or other variables as required. I think the above information should be a solid platform and shows the features and type of software we are looking for.
