General information for the website: Health and safety intranet Kind of development: Customization of existing website Description of requirements/features: Login Group leaders will be required to sign in to the system so the member data can be pre filtered to show only the relevant member records. Data will be saved as the group leader makes changes, any unchanged data will be saved on sign out. Authentication process used to identify the member will need to be confirmed. Driver Evaluation Summary Screen The evaluation summary screen will be the first screen displayed after login. The first six columns will be derived from PeopleSoft data. When a Group Leader/Section Manager logs in they will be shown a list of the members they are responsible for. Administrators will see all members. Members will be grouped together by Group code and the sorted by last name ascending. If a member changes group or leaves Toyota the change will be reflected in the table automatically. Audit Results Fifteen months will be displayed, twelve for the current year and three from the next year. Both Fork Lift and Tow Motor results will be displayed against a member. Monthly slots will adhere to the following rules: Red - Member failed the audit, shows audit score Green - Member passed the audit, shows audit score White - If member is a periodic driver and is not audited that month, shows ‘P’ After three ‘P’ entries Red/Green/Amber rules apply for the fourth entry AMBER - If audit has not been completed that month Formal Action Flag If the member has four red results in an unbroken sequence the formal action flag will show as red. Monthly Operators Evaluation Screen The operation check and key points will be held within the database and managed by the administrator. They can be added, edited, deleted, enabled and disabled. Operation checks only have to be changed in the administration area for all member evaluation sheets to relict the changes. Once an operation check has been used with a member it cannot be deleted, the administrator will disable the operation check instead. Operation checks will consist of the following data: Category Operation check Key point Penalty points The months of the current year will be displayed and loaded with any current data for the selected member. As data is entered into the form the totals will automatically be updated and the audit/validation procures will run and highlight any areas that need attention. As data is entered it is immediately available to other parts of the system. All of the monthly operation checks must be completed before the summary screen shows either green or red. Printing The driver monthly driver evaluation forms will be printable in A3 format via an automatically generated PDF. Reports The following reports will be available for administrators. The reports will be displayed as bar charts. Number of Members not assessed by Group/Department Number of Members in double condition by group code Number of Members in triple condition by group code Number of Members in quadruple condition by group code PeopleSoft Synchronisation The following data will be provided from PeopleSoft as a csv/txt file on a daily basis: Member number First name Last name Group Code Fork Lift Truck Licence End Date Tow Motor Licence End Date Auditor (member number) Level Group Leader Section Manager CMS and Admin requirements: The administration will be updated to provide additionally functionality for managing and exporting data. All driver audit data will be exportable as CSV by group code(s) or all. The data will be filtered by a year selector. All operation check and key point data will be managed through the administration.
